    Ad Guidelines

    My organization is sponsoring an ad in the Conference Program. What specs are required and whom should I send the finished ad?

    Please follow the ad space guidelines shown in this link: http://www.highwayengineers.org/2009NationalConference/Ad Guidelines.jpg. Please send your finished ads to Jill Kaempf by May 4th.

    Golf Tournament

    Someone else registered me for the golf tournament. But why doesn't it show up on my account?

    The ASHE accounts are not linked. You will not be able to view any golf registrations (or team requests) that you did not create yourself. However, you should receive an email when you are registered, provided that whoever regiters you provides your email address when registering you.

    How do I request someone be placed on my team?

    You may request players to be placed on your team simply by adding their information to your registration and unchecking the box that says "Register this Player", which will give that player a "Team Request" status. If an email address for that player is provided, an email will be sent to any player requesting that they register themselves.

    Please note that you will be responsible for the payment of any player that you register rather than request that they be on your team. Therefore, it is recommended that you request anyone who is not a spouse or does not belong to your organization/company.

    How do I make a hotel reservation?

    Hotel Reservations:
    You are responsible for making your own hotel reservations. Special Rates are available through May 1st, 2009 or until availability runs out. For more information follow this link.

    Location

    Where is the conference located?

    The conference will be located at the Atlanta Westin Perimenter North. The ASHE 2009 National Conference will be the only event taking place at the hotel. More information can be found on the Hotel Information webpage.

    Is there Wi-Fi available at the conference?

    Yes. The Westin offers Wi-Fi Service. However, a registration charge is required through the hotel.

    Payment

    How can I make a payment for sponsorship, conference registration, or an exhibit booth?

    Payment Options:
    The ASHE 2009 Conference will accept mailed checks and PayPal payments.

    Exhibit Booths and Sponsorships must be paid using a check.

    Invoices can be created at anytime by logging on to your ASHE 2009 account and following the 'Make a Payment' link.

    You may pay for your conference registration by check or by using PayPal
    (Accepts: Visa Mastercard American Express Discover eCheck )


    To make a PayPal payment, simply follow the approriate link once your invoice is created. Please note: We can not accept PayPal payments for sponsorships or exhibit booths.

    Refunds/Cancellation

    What is the refund policy of the conference?

    Cancellation Policy:
    ASHE reserves the right to cancel tours, programs, or events if there is insufficient registration or for any other reason. ASHE is not responsible for cancellation charges assessed by hotels, airline or travel agencies, or other losses incurred due to cancellation of tours, programs, and/or events.

    Refund requests received in written form prior to May 1st will be honored; however will be subject to a $25* administrative fee.

    * Payments made via PayPal will be subject to an additional 3% charge.

    NO REFUNDS AFTER MAY 1ST for conference fees or individual events.

    Registration

    I created a Login ID, but am not able to log in. What do I need to do?

    If you have never logged on, the problem may be that you didn't validate your email address by following the link provided in the email that was automatically sent to you when you created your Login ID.

    If you didn't receive an automatic email, first check your Junk/Spam mail box to make sure that it hasn't been placed there. (Yahoo accounts have been particularly notorious about this.)

    If that does not work, contact Mindy Sanders to determine what the issue may be and resolve it.

    When will I be able to register for the conference?

    Once all of the conference activities have been decided on, we will be able to open up conference registration. We anticipate this date to be January 7, 2009.

    In the meantime, please create a conference Login ID. That way, you will be kept up-to-date with the latest in conference news, including when registration will be open.

    How do I register for the conference?

    The easiest way to register is online. You can also print and mail in your application.

    Sponsorship

    I just registered for an exhibit both. Why is my organization's name is not appearing on the exhibit booth display?

    Flash objects are not automatically refreshed when you refresh a page. However, if you close and then reopen your browser, you will see the updated exhibit booth display. ** Remember to email your organization's logo (.jpg preferred) to Mindy Sanders so that it can take the place of your organization's name. **

    My organization is a sponsor. Am I entitled to a free registration?

    That will depend on your level of sponsorship. Please check the 'Sponsorship Oppurtunities' page for more details.

    I accidentally registered as a sponsor for the wrong level or accidentally registered more than once. How can I change this?

    The website will not allow you to delete any sponsorship, however, this can easily be remedied. First, register for the correct level, then contact Mindy Sanders and she can remove the registration for the incorrect level.

    I would like to upgrade/add to my level of sponsorship. What can I do?

    You may log in to your ASHE 2009 account at any time and add a sponsorship or exhibit booth. The website does not allow you to remove a sponsorship level, so if you would like to change or remove your sponsorship level, you will have to contact Bob Goehring.
